A project manager negotiates almost every day: for a person from another department, for a delivery date with the client, or for a price with a vendor. Good negotiation isn't a battle where one side wins and the other loses; it is a shared search for an agreement both sides can actually keep.
The key idea is the difference between positions and interests. A position is what someone asks for ("I want the engineer for a full month"); an interest is why they ask ("I need the design done before testing"). When you ask "why?" and understand the interest, new options appear and a win-win solution becomes possible.
Prepare before any negotiation: know your goal, the minimum you can accept, and what matters to the other side. Also know your BATNA, the Best Alternative to a Negotiated Agreement, meaning what you will do if no deal is reached. The stronger your alternative, the calmer you are and the less pressure you feel to accept a bad offer.
With functional managers, remember they are balancing your project against their daily work, so offer flexibility on timing or split the request. With vendors, negotiate the whole value (quality, delivery, support), not just the price. In both cases you will work with these people again, so don't win the deal and lose the relationship.
💡 Key points
- Focus on interests (why?), not positions (what?).
- Know your BATNA before you start negotiating.
- A win-win agreement lasts longer than beating the other side.
- The long-term relationship matters more than a small gain in one deal.
🌍 Real-life example
On a hospital information system project in Amman, the PM needs a data analyst from the quality department for three weeks, but the department head refuses because the annual accreditation report is due this month. Instead of escalating, she asks exactly when the report is due, and they agree the analyst will work two days a week now and full time once the report is submitted. The project gets what it needs, and the relationship stays strong.
